Head of Operations

The Head of Operations is a critical leadership role responsible for overseeing and optimizing the operational functions of the organization. Reporting to the COO, this position ensures the seamless alignment of people, processes, and systems to drive efficiency and deliver exceptional results across Account Services, Project Services, Finance, and HR.
The ideal candidate is a strategic thinker with a deep understanding of creative or advertising agency operations, capable of executing big-picture initiatives while ensuring operational excellence in daily activities.

This job requires 3 years minimum of leading operations in a creative or advertising agency. Applicants must possess a Bachelors in  finance, economics, business, or marketing (preferred) and At least 10 years of overall business operations experience in progressive roles.

 

Salary Range: $125,000-$150,000 

 

Your Responsibilities

Operational Leadership

  • Oversee day-to-day operations across Account Services, Project Services, Finance, and HR departments, ensuring alignment with organizational goals.
  • Build and manage operational frameworks, processes, and tools to enhance efficiency and scalability.
  • Serve as a strategic partner to senior leadership, providing insights and recommendations to improve service delivery and operational effectiveness.

Team Management

  • Lead and mentor direct reports, including the Account Director, Director of Finance, HR, and Operations Assistant, fostering a high-performing and collaborative team environment.
  • Ensure efficient resource allocation across teams and monitor utilization to meet business demands.

Business Operations

  • Manage finance and accounting processes, including monthly cash flow analysis, budget tracking, and accounts receivable/payable.
  • Oversee vendor relationships and contracts, negotiating favorable terms and ensuring high-quality service delivery.
  • Drive operational alignment across client services, new business, and finance functions to optimize workflows.

HR & Talent Management

  • Oversee HR functions, including recruitment, onboarding, payroll, and employee relations, to maintain a strong and motivated team.
  • Plan and execute team-building initiatives and internal communication strategies to foster a positive company culture.
  • Collaborate with HR to implement policies, training, and systems that support employee growth and compliance.

Project Oversight

  • Ensure efficient planning and execution of client projects, maintaining control over budgets, timelines, and resource utilization.
  • Monitor and track project P&Ls, ensuring profitability and alignment with financial objectives.

Systems & Processes

  • Own and manage the agency’s operations stack, including project management, documentation, and collaboration tools.
  • Identify, implement, and refine systems, processes, and protocols that enhance service delivery consistency and efficiency.
  • Manage permissions and access rights for team and client systems, ensuring security and functionality.

Strategic Support

  • Partner with the COO and other senior leaders to execute change management initiatives and streamline operational processes.
  • Provide insights and reports on resource needs, utilization, and financial performance to support strategic decision-making.
  • Contribute to business development efforts by assisting with project scopes and client engagements.
Your Qualifications
  • Minimum of 3 years of experience leading operations in a creative or advertising agency.
  • At least 10 years of overall business operations experience in progressive roles.
  • Bachelor’s degree in finance, economics, business, or marketing (preferred).
  • Proven experience overseeing HR functions for at least 2 years, including payroll and recruitment.
  • Strong analytical skills with the ability to translate big-picture goals into actionable plans.
  • Exemplary verbal and written communication skills, essential for team management and client interactions.
  • Deep understanding of branding and creative fields, with the ability to engage in strategic discussions.
  • Proficiency in financial management tools (e.g., QuickBooks, Excel) and project management platforms.
